Is Signature & Stamp Required on UAE VAT Invoices? How to Add Them in Xero
You're using Xero for your UAE business. Your invoices go out clean, professional, and VAT-compliant — but a new client just pushed back: "We need your company stamp and authorised signature on the invoice." You check Xero's default template — no stamp, no signature. Before you panic, let's answer the legal question first, then walk through exactly how to add both to your Xero invoices.
1. What the FTA Actually Requires on a VAT Invoice
Under Article 59 of the UAE VAT Executive Regulations (Cabinet Decision No. 52 of 2017), a full tax invoice must contain these mandatory fields:

Signature and stamp are not on this list. The FTA does not require them for a VAT invoice to be valid.
2. Is Signature & Stamp Mandatory? The Short Answer
No. Signature and company stamp are not mandatory under Article 59 of the UAE VAT Executive Regulations. A tax invoice without either is fully compliant — provided it contains all 10 mandatory fields.
This is a common misconception in the UAE because stamps and signatures have been standard commercial practice for decades. Many clients expect them — but the FTA doesn't require them. The FTA cares about content accuracy (correct TRN, amounts, descriptions), not whether there's a blue ink stamp at the bottom.
3. Why You Should Add Them Anyway
Despite not being legally required, there are compelling commercial reasons to add a signature and stamp to your Xero invoices:
Client payment expectations. Many government entities, large corporates, and traditional trading companies require stamped and signed invoices for their internal payment approval workflow. Without them, your invoice may sit unpaid.
Professional credibility. A signed and stamped invoice signals the document has been authorised. It adds authenticity — especially for new client relationships.
E-invoicing preparation. The upcoming UAE e-invoicing mandate will require digital signatures. Getting into the habit of including signatures now smooths the transition.
4. How to Add Signature & Stamp in Xero — Step by Step
Xero's invoice customisation works differently from other accounting platforms. There are two main approaches — the built-in editor and the more flexible Docx template method.
Method 1: Using Xero's Branding Theme Editor
Go to Settings → General Settings → Invoice Settings
In Xero, click the organisation name in the top-left, then Settings → General Settings → Invoice Settings (or search "Branding" in the settings search).
Select your branding theme → Edit
Click Edit on your active branding theme (or create a new one). This opens the invoice layout editor.
Add signature and stamp in the "Terms & Payment Advice" section
Xero's built-in editor allows limited image insertion. In the Payment Terms or Advice text area, you can type the signatory name and designation. However, for an actual image (signature + stamp), the Docx template method (Method 2) is more reliable.
Save and preview
Save the theme and generate a test invoice PDF to check the layout.
Xero's built-in branding theme editor has limited image support in the footer/terms area. For a professional signature + stamp layout, Method 2 (Docx template) is strongly recommended.
Method 2: Custom Docx Template (Recommended)
This method gives you full control over where the signature and stamp appear on the invoice. Xero allows you to upload a custom Microsoft Word (.docx) template that replaces the default layout.
Download the default Xero invoice template
Go to Settings → Invoice Settings → Edit your branding theme → Download Template. This downloads a .docx file with Xero's placeholder fields (like {InvoiceNumber}, {DueDate}, etc.).
Open in Microsoft Word and add your signature/stamp
Open the downloaded .docx file in Microsoft Word. Scroll to the footer area (below the invoice total). Insert your signature image (transparent PNG recommended) and company stamp image. Position them side by side or overlapping — the standard UAE layout. Add text below: "Authorised Signatory" and the signatory's name.
Preserve Xero's placeholder fields
Important: Do not delete or modify any of Xero's placeholder fields (the text in curly braces like {ContactName}, {InvoiceNumber}). These are dynamic fields that Xero populates with real data when generating the invoice. Only add content — don't remove existing placeholders.
Save and re-upload to Xero
Save the .docx file. Go back to Settings → Invoice Settings → Edit branding theme → Upload Template. Select your modified .docx file. Xero will validate the template and apply it.
Test with a draft invoice
Create a test invoice, preview the PDF, and confirm the signature and stamp appear correctly. Check that all dynamic fields still populate correctly (amounts, dates, client names).
Method 3: Third-Party Add-On (Xero Marketplace)
If you want even more design control, Xero's marketplace offers invoice customisation add-ons like Xero Invoice Templates by DocuSign or InvoiceBerry. These tools provide drag-and-drop editors that make it easy to place signature and stamp images precisely where you want them. However, they may involve additional subscription costs.
Signature: Scan or photograph your handwritten signature on white paper. Remove the background using remove.bg (free) to create a transparent PNG. Recommended: 300×150px.
Company stamp: Scan at 300 DPI, crop tightly, save as transparent PNG. Recommended: 200×200px.
Combined: For the typical UAE overlapping signature + stamp look, combine both images in any editor (Canva, PowerPoint, Photoshop) and save as a single PNG. This simplifies template placement.
