Is Signature & Stamp Required on UAE VAT Invoices? How to Add Them in Zoho Books
Your client just asked: "Where's the stamp and signature on this invoice?" You're using Zoho Books, and the default invoice template doesn't include either. Before you scramble to fix it, let's answer the real question first — does the FTA actually require a signature and stamp on VAT invoices? And if not, should you add them anyway? 1. What the FTA Actually Requires on a VAT Invoice
Under Article 59 of the UAE VAT Executive Regulations (Cabinet Decision No. 52 of 2017), a full tax invoice must contain the following mandatory fields:

2. Is Signature & Stamp Mandatory? The Short Answer
No. Signature and company stamp are not listed as mandatory requirements under Article 59 of the UAE VAT Executive Regulations. The FTA does not require them for a tax invoice to be valid for VAT purposes.
A tax invoice without a signature or stamp is fully compliant with UAE VAT law — provided it contains all 10 mandatory fields listed above.
This is a point of confusion for many UAE businesses because stamps and signatures have been standard commercial practice in the region for decades. Many clients, suppliers, and even some government entities expect them — even though the FTA doesn't require them.
The FTA's focus is on content accuracy, not presentation. What matters is that the invoice contains the correct TRN, amounts, VAT calculations, and descriptions. Whether it has a blue ink stamp at the bottom is irrelevant from a tax compliance perspective.
3. Why You Should Add Them Anyway
Just because the FTA doesn't require signatures and stamps doesn't mean you shouldn't use them. There are strong commercial reasons to include both:
Client expectations. Many UAE businesses — especially government entities, large corporates, and traditional trading companies — require stamped and signed invoices as part of their internal procurement and payment approval processes. Without them, your invoice may sit unpaid in someone's accounts payable queue.
Credibility and professionalism. A signed and stamped invoice looks more professional and signals that the document has been authorised by the business. It adds a layer of authenticity — especially for new clients who haven't worked with you before.
Dispute resolution. In case of a commercial dispute, a signed invoice carries more evidentiary weight than an unsigned one. While both are valid for VAT, the signature adds an authorisation trail.
E-invoicing preparation. The upcoming UAE e-invoicing mandate (July 2026 pilot, mandatory from January 2027) will require digital signatures on electronic invoices. Getting into the habit of including signatures now — even as images — makes the transition smoother.

4. How to Add Signature & Stamp in Zoho Books — Step by Step
Zoho Books makes it straightforward to add a signature and company stamp image to your invoice template. Here's how:
Method 1: Using Invoice Template Settings (Easiest)
Go to Settings → Preferences
In Zoho Books, click the gear icon (⚙️) in the top-right corner, then select Preferences from the sidebar.
Select Invoices → Template Preferences
Under the Invoices tab, click Template Preferences to access the invoice layout editor.
Click "Edit" on your active template
You'll see your current invoice template(s). Click Edit on the template you use for VAT invoices.
Scroll to the Footer section
In the template editor, scroll down to the Footer area. You'll see options for "Authorized Signature" and additional footer content.
Enable "Signature" and upload your image
Toggle on the Signature option. Click Upload Image and select a PNG or JPEG of your signature. For best results, use a transparent PNG with a resolution of at least 300×150 pixels.
Add company stamp (using the same image or a combined image)
The easiest approach: create a single image that combines your signature + company stamp side by side (or overlapping, as is common in the UAE). Upload this combined image as the signature. Alternatively, add the stamp as a footer image using the "Notes" or custom footer field with an embedded image.
Add the signatory name and designation
Below the signature image, add the signatory name (e.g., "Yassine Azzouni") and designation (e.g., "Authorised Signatory"). This appears printed below the signature image on every invoice.
Save and preview
Click Save, then generate a sample invoice PDF to confirm the signature and stamp appear correctly in the footer.
Method 2: Using the PDF Template Editor (Advanced)
For more control over placement, use Zoho Books' PDF Template Editor:
Go to Settings → Templates → Invoices → Edit PDF Template. This opens a drag-and-drop editor where you can place image elements anywhere on the invoice. Add an Image element, upload your stamp/signature file, and position it in the desired location (typically bottom-right, next to the total). The UAE's mandatory e-invoicing framework changes the signature landscape significantly:
Physical signatures and stamps become irrelevant for e-invoices. Under the Peppol-based DCTCE model, invoices are generated in structured XML format and transmitted through an Accredited Service Provider (ASP). Each e-invoice will carry a digital signature — a cryptographic element that verifies the invoice's integrity and authenticity. This replaces the function of a physical signature and stamp.
Timeline: Voluntary pilot from July 2026. Mandatory for businesses with revenue ≥ AED 50 million from January 2027. Full rollout to all businesses by July 2027.
What this means for Zoho Books users: Zoho is expected to integrate with UAE-accredited ASPs before the mandate deadline. Your current PDF invoices with image-based signatures will continue to be valid until your business transitions to e-invoicing. After that, the digital signature replaces the image.
Continue adding signature and stamp images to your Zoho Books invoices for commercial purposes. When e-invoicing becomes mandatory for your business, the digital signature will handle the authentication automatically. The two approaches overlap during the transition period — no harm in having both.
