As part of its compliance obligations, IFZA (International Free Zone Authority) requires all licensees to complete a Know Your Customer (KYC) identity verification as part of the trade license renewal process. This is IFZA's standard regulatory requirement to verify the identity of the company's shareholders, directors, and managers on an ongoing basis.
The KYC is not a one-time requirement — it is required at each renewal cycle. If the KYC step is not completed, the renewal cannot be processed and the license will be treated as expired, triggering IFZA's monthly late penalty of AED 1,000 per month.
IFZA sends the KYC request to the registered email of the company's shareholders, directors, and managers listed in the license. Each person on record will need to complete their own KYC individually. You cannot complete the KYC on behalf of another person — it requires live video verification of the individual.
When your IFZA renewal is initiated, you will receive an email similar to the following:
Sent to shareholders, directors, or managers on the IFZA license
Subject: Action Required — KYC for [Company Name] — FZCO
Greetings,
You are receiving this email with regards to the License Renewal application for [Company Name] — FZCO and as a part of the process, you will need to complete the KYC steps.
The process is very simple and can be started by clicking the button below.
[Start KYC Process]
You will need the following:
The process can be completed via Mobile or through a Laptop/Desktop with a working Video Camera.
This is the most critical and most frequently misunderstood requirement. You must scan the physical passport itself using your phone or laptop camera during the KYC session. Uploading a JPEG photo or a PDF scan of your passport will cause rejection. The KYC system detects whether the document being scanned is a live original or a secondary copy.
IFZA's KYC email specifies the last digits of the passport number registered in your license application. You must use that exact passport. If you have renewed your passport since incorporation, you will need to update your records with IFZA before the KYC can be completed.
IFZA's KYC process sends a One Time Password (OTP) to the mobile number or email address registered to the company or the individual. Ensure you have access to that number or inbox before starting — the OTP expires quickly.
The KYC can be completed on a mobile phone or a laptop/desktop computer with a working front-facing camera. Ensure the camera is functioning and not obscured before starting the session. Poor lighting or a broken camera will interrupt the process.
IFZA explicitly requires professional and appropriate clothing during the KYC video verification. Casual wear, sleeveless clothing, or any appearance that does not meet professional standards may cause the verification to be flagged or rejected. Treat it as you would a formal identity verification for a bank or government office.
Click "Start KYC Process" in the email. This opens IFZA's KYC platform — either in your browser or via a prompt to open in the IFZA app if on mobile.
The system sends an OTP to your registered mobile number or email. Enter it within the time limit shown on screen. If you do not receive the OTP, check your spam folder or confirm your registered contact details with IFZA.
Hold your original passport open to the bio-data page in front of the camera. The system will read the chip or optical data directly. Do not hold up a printed copy, a phone showing a PDF, or a screenshot — these will fail. The original physical document must be in your hands.
The KYC system will take a live photo or video of your face to match against your passport. Ensure you are in good lighting, facing the camera directly, wearing professional attire, and not wearing sunglasses or hats.
Once all steps are completed, the KYC is submitted to IFZA for review. Confirmation typically comes within a short period. Once approved, the renewal process continues — IFZA will notify your Professional Partner (or you directly) that the KYC step is cleared.
The KYC system detects secondary copies and rejects them. Fix: scan the original physical passport directly with the device camera during the session.
If a new passport was issued since incorporation, IFZA's system will not match it. Fix: update the passport on file with IFZA before attempting KYC, then restart.
IFZA explicitly flags non-professional clothing. Fix: wear formal or smart-casual clothing — same standard as a bank appointment or official government visit.
Facial recognition fails in poor light. Fix: sit in a well-lit room facing the light source. Avoid backlighting (e.g., sitting with a window behind you).
OTP may go to spam or an old number. Fix: check spam, and confirm the registered mobile/email with IFZA or your Professional Partner before starting.
Taking too long between steps causes the session to expire. Fix: have your passport and device ready before clicking the link so the process can be completed in one go.
The IFZA KYC process does not require physical presence in the UAE. It can be completed from anywhere in the world using a mobile phone or laptop with a working camera. Many IFZA shareholders complete KYC from Europe, India, or other countries without needing to travel to Dubai for the renewal.
KYC is a mandatory step in the IFZA renewal workflow. If you do not complete it:
The KYC link in the IFZA email has an expiry window. If you receive the KYC email and do not act promptly, the link may expire and a new one will need to be generated through your Professional Partner. This adds unnecessary delay to the renewal timeline.
